How to write an SOP with AI, step by step

Every time you hand off the weekly report or the client onboarding, you explain it again, and it still comes back different. Write it down once, properly.

The problem

In most small businesses, the way a job gets done lives in the owner's head. So every handoff, to a new hire, a contractor or an AI assistant, starts with the same explanation, and the result still drifts a little every time. A standard operating procedure, or SOP, fixes that by writing the job down once, in a form someone else can follow without asking you.

What a good SOP includes

  • When it starts: the trigger, like 'every Monday' or 'when a new client signs'.
  • What you need before starting: logins, files and information.
  • The steps, in order, each one an action someone can actually take.
  • The decisions: where the path splits, and what to do on each branch.
  • The rules: what must always happen and what must never happen.
  • One example of a finished result, which does more for consistency than any paragraph of instructions.

How to write it with AI

  1. 1Do the job once for real, and jot down each step as you go, however rough.
  2. 2Mark every point where you made a choice, and write what you would do in each case.
  3. 3List your always and never rules, the things a new person would most likely get wrong.
  4. 4Add one good finished example, like last week's report or a welcome email you were happy with.
  5. 5Give all of it to an AI and ask it to find the gaps: what happens if an input is missing, or a client does not reply?
  6. 6Test the SOP on a real case, fix what was unclear, and save the final version where the next person will look.

The AI is good at the parts people skip: turning rough notes into clean steps, spotting a missing branch and asking the awkward question. You supply the judgement it cannot, which is how the job should actually be done.

Turn it into something an AI assistant follows every time

SkillScribe on BizWax.Ai is built for exactly this. Lay the job out like a flow chart, with actions, decisions, checks and outputs, then state your rules and add an example. Claude asks about the gaps before anything is written, with a readiness score for how complete the spec is, and a line of five AI models drafts, stress-tests, tightens, fact-checks and merges it into one file.

You get a SKILL.md file with a flow diagram, ready to upload to Claude as a skill or paste into ChatGPT or Gemini, so the assistant does the job your way every time instead of its own. It is one tool in the $20-a-month BizWax.Ai plan.
